Transparency Report

Honest by Design.

Visa services thrive on trust. This page documents how we operate — our fee breakdown, how we responded to customer feedback, and how VBshield performed for applicants this year. We publish this report annually so you can hold us accountable.

Report period: 1 January 2025 – 31 December 2025  ·  Published: May 2026

What You Told Us — and What We Changed

Every negative review and support escalation is reviewed by our product team in a weekly session. Rather than treating complaints as isolated incidents, we look for patterns and make structural changes. Below are four areas where applicant feedback directly drove product improvements in 2025.

Issue raised: Application form was confusing for first-time applicants
What we did: Redesigned our step-by-step application flow with inline guidance, document checklists, and progress indicators at each stage.
Issue raised: Passport photo rejections from incorrect specifications
What we did: Integrated an automated photo checker that validates dimensions, background colour, and face positioning before submission.
Issue raised: Users unclear on which documents to upload for Schengen
What we did: Launched destination-specific document guides that update dynamically based on your nationality and travel purpose.
Issue raised: Slow response times from our support team during peak season
What we did: Expanded our dedicated visa support team and introduced estimated response-time indicators so you always know when to expect a reply.

Our Fee Structure, Explained

Every rupee you pay on VisaBanana is split into two distinct components: the government or consular fee mandated by the destination country, and VisaBanana's service fee for preparing and submitting your application. We never blend these into a single opaque number.

📌

Government fees are collected in the destination country's currency. The INR amounts below are converted at the indicative exchange rate on the date of publication and may vary slightly at the time of your application.

VisaBanana's service fee covers document review, eligibility assessment, application preparation, submission to the relevant authority, and post-submission tracking. It does not include embassy biometric fees, VFS service charges, or courier fees where applicable — these are itemised separately at checkout before you confirm payment.

VBshield: How We Performed on Refunds

When a visa is rejected on an eligible route, VBshield automatically detects the rejection event in our tracking system and initiates the refund to your original payment method without requiring you to contact us. You receive an email confirmation once the refund is initiated.

What VBshield covers

VisaBanana's service fee on eligible visa types where the application was rejected by the issuing authority or where delivery exceeded the committed processing window. Government fees are non-refundable as they are paid directly to the relevant authority and are outside our control. Full eligibility conditions are detailed in our Refund Policy.

How We Handle Your Data

Visa applications require some of the most sensitive personal documents a person owns — passport copies, bank statements, and employment records. We take this responsibility seriously.

All uploaded documents are encrypted before being written to storage.
TLS 1.3 in Transit
Every byte between your device and our servers is protected with modern transport encryption.
Deleted After 12 Months
Application documents are deleted 12 months after your application closes, unless law requires longer retention.
